Privacy Notice


We know how important your personal information and privacy is to you, and therefore we promise to protect your privacy by keeping your personal data safe and only contacting you in relation to the purposes of the work we do at The Shane Project and the support provided.

What information we might ask from you:

If you support us- for example, you may make a donation, become a member, become a supporter, volunteer, take part in event, we will usually ask for:-

•Your name

•Your contact details such as your address, email address, telephone number (s)

•Our funders may require us to collect data for statistical purposes only such as your ethnicity, age group and so on. This will be anonymised.

How we collect information from you

  • You may decide to make a donation, contact us direct via telephone, email, by post, social media platforms such as our Facebook or Twitter pages.
  • You may attend a meeting or an event and complete a registration document.

How do we use your personal information?

By providing your personal data to the Shane Project, this enables us to provide services and support for example:-

  • updating you on our events such as Teleconferencing, Network Club, exercise and wellbeing classes we run,
  • updating you on local community events, courses that are available
  • providing you with information and updates about multiple sclerosis (MS).
  • asking you for feedback on our services

if you volunteer with us we will use your personal data for the purposes of including you on our volunteer register and as a way of keeping in touch with you. We may inform you of courses that become available in the community or we become aware of, that you may be interested in. If you stop being a volunteer then we will archive your details (but not use them on our current volunteer’s register) to keep a record for statistical purposes for our Annual Report for example or for funders’ reporting, your details will be anonymised.

The Shane Project will only process your data in ways that you would reasonably expect us to do so. We will not sell your personal information or share it with third parties for the purposes of marketing, as this is not relevant to our work.


We will always ask your permission before taking photographs. These may be required for inclusion in our half-yearly newsletter and/or for funder’s monitoring reports as confirmation of our activities.

Third Party Contacts

Sometimes we may be contacted by third parties such as the BBC, Universities, Market Research focus group companies who ask for feedback and input from people living with MS and/or their family carers. We will never pass your personal information directly on to them. If we believe it is something you may wish to participate in, we would contact you first (via your preferred contact method) to establish your interest in participating, and then pass the contact details of the third party on to you for you to make direct contact. If we are ever asked to facilitate or obtain responses by the third party, we will make this clear in our dealings with you. 

If you volunteer with us we sometimes receive referrals from other organisations such as Enfield Volunteer Centre, which would then enable us to contact you as you have already indicated you are happy for this to happen by providing personal information to these other organisations. Please check their privacy notices. 

Legal bases for processing your data:


  • From May 2018 we will process any new members’/ supporters’/volunteers’ data based on the explicit consent (and preference options) you have given us.
  • If you are an existing member/ supporter/ volunteer we will use your support or involvement as explicit consent to continue sending you the communications you receive from us and advise you of our new privacy notice. This includes if you have made a donation or updated us with new information to help us send you the right communications for your needs. If you have previously asked us not to contact you, we will continue to respect your wishes.

Opting out

  • You can change your mind about how you wish us to contact you ( your contact preferences) or stop communication from us by emailing us at  or writing to us at The Shane Project, Edmonton Baptist Church, Monmouth Road, The Green, London N9 0LS.

Protecting your personal information

  • The security of your information is very important to us. We ensure that there are appropriate controls and procedures in place to protect your personal data. We use a third party payment provider Paypal who process donations on our behalf via our website. (Please see their separate privacy policy for information).

  • However, despite all the security and protection we put in place, the Internet cannot be guaranteed to be 100% secure. Therefore you submit data at your own risk.

  • If required, we may need to disclose your details to the police, regulatory bodies or legal advisers.

  • Due to the nature of servers and cloud-based storage all over the world, this may mean that, during the processing of your data, it leaves the European Economic Area (EEA). Although they may not be subject to the same data protection laws as in the UK, we will take steps to make sure they provide an adequate level of protection in accordance with UK data protection law. By submitting your personal data you are agreeing to this potential transfer, storing or processing at a location outside the EEA.
  • We will only ever share your data in other circumstances or to a third party if we have your explicit, informed and unambiguous consent.

Keeping your information up-to-date

Please let us know if your contact or personal details change as this enables us to continue to support you and communicate with you.

How long we will keep your information for

  • We will hold your personal data on our systems for as long as is necessary for us to continue to provide a service to you or you decide to opt out.
  • We will keep records of any donations made for at least seven years.
  • If you ask us to cancel your membership or to stop communicating with you, we will keep a record of your contact details and relevant information to comply with your request. We may archive the information (but not include you on our ‘live’ database records) but only to keep anonymous statistics for reporting to our funders, if required. We have an Archiving policy.

Access to your personal information

You are entitled to request a copy of the information we hold about you, and if there are ever any mistakes in the details we provide, please inform us and these will be corrected immediately.  If you would like to access your information *, please write to us detailing what information you wish to see, together with a copy of proof of your identity to:-

*Although we will not charge a fee for the processing of your request, you can make a donation to The Shane Project if you so wish. We will aim to process your request promptly but take no longer than 40 days to provide you with the information you have asked for. 

Changes to this notice

Our Privacy notice may change from time to time. If there are any major changes in the way we deal with your personal information, we will make this clear on our website and/or by contacting you directly.
